🛫 BEFORE YOUR ARRIVAL
📝 ONLINE APPLICATION & DOCUMENT UPLOAD
Once nominated by your Home University, you will receive an automated email from the Sapienza Central Office with your personal credentials to access the student portal and submit your online application.
Fill out the Online Application Form and upload the following required documents before the deadline:
Application Form (signed, .pdf)
National ID Card or Passport (valid copy, .pdf)
ID Photo (.jpg format)
Official Transcript of Records from your home university (.pdf)
Learning Agreement (signed by you and your home coordinator)
✅ ACADEMIC APPROVAL & ACCEPTANCE LETTER
You can prepare your Learning Agreement (LA) either online via the Online Learning Agreement (OLA / EWP) platform or by filling out a standard PDF form.
💡 How to fill in your Learning Agreement correctly
If you haven't completed your LA yet, here are a few key points to keep in mind:
Course details and titles: Make sure to include both the exact numerical course code and the full name of the degree program (for example: 10629525 - HIGH-PERFORMANCE COMPUTING). On the OLA platform, always write the course title in the exact language in which it will be taught.
Integrated exams (Modular courses): Integrated courses composed of multiple modules must be taken as a whole. For instance, if the course “System and Networking” consists of two 6-ECTS modules for a total of 12 ECTS, you must sit the complete 12-ECTS exam — it is not possible to take or validate just one of the individual modules.
Choosing courses across Sapienza: You are welcome to take courses offered by other faculties across Sapienza — with the exception of the Faculty of Architecture.
Receiving Institution Contact Person Name section: In this part of your Learning Agreement, please enter as follows:
Daniela De Angelis
Erasmus Administrative Coordinator
Once your study plan is filled out and formally approved/signed by your home university coordinator, log into your Sapienza application portal and upload the signed Learning Agreement directly to your personal page. Our I3S Erasmus Office will access your portal, review your uploaded Learning Agreement, and sign it for final academic validation. As soon as we validate your study plan, both your fully signed Learning Agreement and your official Acceptance Letter will be published and available for download directly in your personal Sapienza portal account.
🗣 LANGUAGE REQUIREMENTS
Official language certificates are not required to attend courses at our Faculty. However, to make your daily life in Rome easier, navigate your classes smoothly, and fully enjoy your Italian experience, we strongly recommend having at least an intermediate level (B1/B2) of Italian (or English, depending on the language of instruction of your chosen courses).
📚 FREE ITALIAN LANGUAGE COURSES
Sapienza’s Language Centre (CLA - Centro Linguistico di Ateneo) offers free Italian language courses for all incoming Erasmus students!
How to Apply:
If you wish to take an Italian course, you must express your interest by filling out the relevant section in your online Application Form before the application deadline.
Course Details & Levels:
Detailed information regarding placement tests, schedules, and course levels can be found directly on the Sapienza Language Centre (CLA) Website.
🛬 UPON ARRIVAL
🎉 WELCOME EVENTS & ORIENTATION
At the beginning of each semester, Sapienza organizes a dedicated International Students Welcome Week. It is a fantastic opportunity to receive practical guidance on living in Rome, learn about campus life, and meet the central Erasmus team alongside student organizations like the Erasmus Student Network (ESN).
In addition to the university-wide orientation, our Faculty of Information Engineering, Informatics, and Statistics (I3S) organizes an exclusive Welcome Day specifically for our incoming students!
During this event, you will meet our faculty coordinator and Erasmus staff, get key academic tips, and connect with fellow engineering and statistics exchange students.
📩Keep an eye on your inbox! You will receive an official email invitation with all the details (date, time, and location) as the start of the semester approaches.
🏢REGISTRATION & ARRIVAL VALIDATION
To officially register and start your mobility period, you must attend an in-person appointment at our Faculty Erasmus Office.
🚨IMPORTANT — START DATE OF MOBILITY:
The official start date of your Erasmus mobility is the exact day you physically come to our office for registration — NOT the date you land or arrive in Rome.
📅 Booking Your Appointment
You will receive an email with detailed instructions on how and when to book your registration appointment as your arrival approaches.
📄 Documents Required on Registration Day
On the day of your appointment, you must bring the Certificate of Arrival provided by your home university:
You can bring a printed physical copy to the appointment, OR
You can email it to us on the same day of your visit.
⚠️Note: We will fill and sign it using the exact date of your office visit as your official start date.
If your Home University does not provide a template: Do not worry — our office can issue the official Sapienza Certificate of Arrival format upon request.
💻 INFOSTUD SERVICE & STUDENT CARD
Infostud is Sapienza’s official online student portal. You will use it to book exams, view your official grades, and request your Student ID Card.
🚨 CRITICAL WARNING BEFORE YOUR ARRIVAL
❌DO NOT try to access Infostud or register by yourself before arriving in Rome!
Your student account and Student ID number (matricola) will remain inactive until the I3S Faculty Erasmus Office has officially validated your arrival in Rome.
🔐 Credentials & Activation Steps
After completing your Online Application Form, you will receive a username and a temporary password via email. You will be prompted to change your password upon your first access. Once you arrive in Rome and complete your registration with the I3S Erasmus Office, your account will be activated, and full access to Infostud will be granted. After your Infostud account is fully activated, you can apply for your official Sapienza Student Card directly through the portal.
❓Lost Credentials Support:
If you lose your student ID number (matricola) or password, please contact erasmusincoming@uniroma1.it.
📝 How to Register for Exams via Infostud
To take any exam at Sapienza, you must register through your Infostud portal:
Log into Infostud during the registration window and book the exam on your preferred available date.
Once the booking is confirmed, Infostud will generate an official exam receipt.
🚨CRITICAL REQUIREMENT — PRINT YOUR RECEIPT:
We suggest you to print the exam receipt and bring a physical copy with you on the day of the exam.
⚠️ Essential Rules for Taking Exams
No Late Exams Allowed: You cannot take any exam after the official end date of your mobility period. All exams must be completed and recorded while your mobility is active.
Exam Attendance: Make sure to check the exact date, time, and room assigned on Infostud prior to the exam day.
📅 SEMESTER SCHEDULE & CALENDAR
First Semester (Autumn/Winter): Lessons end at the end of December. Exam sessions take place in January and February.
Second Semester (Spring/Summer): Lessons end at the end of May. Exam sessions take place in June and July.
🏫 ATTENDING CLASSES
For I3S courses, class registration is usually not required (you only register for exams). If you take courses in other faculties, contact the professor directly to ask if attendance registration is needed.
🔄 CHANGING YOUR LEARNING AGREEMENT
After your arrival in Rome, take time during the first weeks to attend classes and verify that there are no timetable conflicts or overlapping courses.
If you need to make changes to your initial study plan, follow these procedures:
📌 How to request a change
The process depends on how you created your original Learning Agreement:
If you use the Online Learning Agreement (OLA):
Submit your changes directly through the OLA platform under the "During Mobility" section and your home university coordinator must approve them online. Important: Once your home university signs off, please send an email to erasmus-i3s@uniroma1.it to let us know! This allows us to log into the system, review your new courses, and complete the final approval.
If you uploaded a PDF Learning Agreement:
Fill out the "During Mobility" section of the Change Form in PDF format, sign it, and forward it to your home university coordinator for their approval. As soon as they have signed off on the new courses, email the updated PDF to erasmus-i3s@uniroma1.it. Our office will review the changes, add our signature, and send the fully signed copy right back to you for your records.
📜 END OF MOBILITY
When your study period in Rome comes to an end and you finish your last exam, you are free to return home! There is no need to visit our office in person to close your mobility.
Just follow these steps once all your academic results are finalized:
📊 wait for grade registration on infostud
After completing your exams, keep an eye on your Infostud account. You must wait until all your exam grades are officially recorded and visible on the portal before reaching out to us.
📨 submit your certificate of attendance
Once (and only when) all your exams appear on Infostud, send an email to our Erasmus Office with The Certificate of Attendance template provided by your home university.
🎓 validation & transcript of records (tor)
Once we verify your Infostud records, our office will sign and return your Certificate of Attendance and officially issue your Transcript of Records (ToR) directly to you and your Home University.
Please keep in mind that the date of your very last exam (which corresponds to your last academic activity) will be recorded as the official end date of your mobility on your Certificate of Attendance and Transcript of Records (ToR).
💡Quick note: To count an exam date as your final day of mobility, you don't necessarily have to pass it — you just need to have officially taken part in the exam session and have the attempt recorded on Infostud.
